Organization Settings


About Organization Settings

The Organization settings let you:

  • Rename your organization or simply fix a spelling error
  • Update your Short Code → as explained in the next section

To chanage the name of your organization:

  1. Click open the Admin menu

  2. Pick Organization → and click in the name box

  2. Select ✓ Save Changes

About Short Codes

What's a Short Code?

Short Codes are human readable forms of an an organization's identifier within an URL, such as:

  • t-events
  • aff
  • delta
  • our-venue
  • our_brand

They have to be unique for every organization in the Guard IQ platform. Short Codes serve several essential purposes:

  • Managed Accounts & Device Logins: Short Codes enable secure login to dedicated computers and mobile devices (aka. Organization Code) without requiring individual email addresses. This enhances security by allowing these devices to be locked down

  • Public Links: Anonomous Public Links launch Shortcut versions of Forms down multiple distribution channels → ex. SMS, QR codes, NFC, social media, and more. → ex. reporting Wheelchair requiests to Guest services

  • Streamlined URLs for Forms: Short Codes simplify URLs for Forms, making them easier to share and remember → ex. t-hawk instead of Thunderhawk, as in:

Important: Once set, Short Codes can't be changed!!! Due to this, they are currently managed by Guard IQ's Installation Team. (They'll share it with you for your login and Public Link needs.)

  • Take a few minutes to decide your Short Code — because it can't be changed!
  • Use lowercase
  • Use numbers if you wish
  • Use - or _
  • No special characters are allowed

Rules for creating Short Codes

There are a few additional rules that you'll need to follow to avoid a glaring error message:

The may contain only:

  • lowercase letters
  • numbers
  • underscores (_)
  • hyphens (-)

Create a Short Code

To create a Short Code:

  1. Open the Admin section → and click Short Code

  2. Click ✓ Save Changes

  • Thunderhawk Arena 1 = t-arena_1
  • Thunderhawk Arena 2 = t-arena_2
  • Thunderhawk Arena 3 = t-arena_3
  • Thunderhawk Arena # = t-arena_# (ex. your Sandbox's assigned number)

To create your organization's forever Short Code:

  1. Click open the Admin menu

  2. Pick Organization → and click in the Short Code box

  1. Enter your new Short Code → and Heed the Warning!

  1. Select ✓ Save Changes
to abandon the change . . .
  • Click out to another part of Guard IQ without saving
  • The changes will be forgotton if you don't save

Adding Managed & Device Accounts

Device and Managed Accounts will allow multiple Team Members to access a single computer or device without individual logins. Administrators can further secure these devices using role-based access controls.

Ensure appropriate Role-based User is in place beforehand. Here's a typical set of User permissions for a device that will be used by Team Members. (Learn more in Invite Users & Set Roles.)

Team Member - Device Definition

To add a managed or device account:

  1. Click open the Admin menu

  2. Pick Users → scroll down → and click + Create Device Account

  3. Enter your managed account's:

    • A. Username → with no capital letters or special caractes except - and _

    • B. Display Name → with whatever works!

    • C. Password → as prompted

    • D. Select a pre-defined Role for your Managed Account

  4. Select Create Device Account
